Beauty & Wellness Studio

For studios whose treatments require preparation, informed consent and rooms booked for very different lengths of time.

The trigger

Why it usually gets rebuilt

Treatments run to different lengths and some need lead time: no acid peel just before a beach holiday, no lash extensions without a consultation and a patch test. None of that is written down anywhere, so a phone call settles it every time — and when it doesn't, the client arrives in full make-up for a treatment that required a bare face.

Features

What actually makes the difference

Not every website needs everything. These are the points that genuinely count in this trade.

Treatment list with duration and lead time

Every treatment states its time in the room, what to observe beforehand and what follows. That answers most of the questions that currently arrive by phone.

Booking with turnaround time built in

Between two appointments there is the time cleaning and setting up actually take. Otherwise the whole day slides backwards and the last client is sitting in reception.

Consultation form before the first visit

Skin condition, medication, allergies, previous treatments — completed digitally before the client arrives. The appointment starts with the treatment rather than a clipboard.

Courses and treatment cards

Ten-session cards, six-week courses, subscriptions: the booking system knows what is left in the course and offers the follow-up dates straight away.

Vouchers you can send immediately

Pick an amount or a treatment, pay, receive the file. That carries the weeks before Christmas and Mother's Day, when nobody makes it into the studio in time.

Automation

What can run by itself

  1. Confirmation carrying the preparation notes

Come without make-up, no sun for two days beforehand, wear something comfortable — whatever the treatment needs. Appointments abandoned because of poor preparation cost the full room slot.

  2. Reminder that names the cancellation deadline

The message the day before also says by when canceling is free of charge. Together those work better than a no-show clause in the small print.

  3. The consultation form sends itself

For every first appointment the form goes out on its own and is back, completed, before the client opens the door.

  4. Next session in an ongoing course

For treatment courses the system prompts the next step at the intended interval. Courses that quietly stop after the third session are the most common hole in the diary.

Integrations

Types of system typically connected — which product exactly is something we work out in the call.

  • Appointment management
  • Client records with treatment history
  • Point-of-sale system
  • Payment provider for vouchers and deposits
  • Retail stock for care products

Budget

$4,180 – $8,800

The treatment list and online booking are the core; digital consultation forms, voucher sales and a link to the client records take it to the upper end.
